Milan Vineyard Church Administrator Position
Title: Administrator Supervisor: Hunter Phillips
Definition: To assist and lead the Milan Vineyard church through administrative tasks including operations, execution, planning, hosting, and overseeing all practical functions of the church.
Roles: Administrator, Event Coordinator, Pastoral Assistant, Bookkeeper
Administrator Duties:
- Locking/unlocking doors Sunday morning.
- Collecting mail/receiving packages
- Returning phone calls
- Responding to church emails
- Ordering/shopping for the facility/ Management of inventory
- Attend/help facilitate Monthly All-Staff Church Meeting
- On-boarding new hires (Giving new employees tours, key making, badge making, organizing welcome packets, getting online access available, walking hires through their insurance and payroll plans, life language profile distributor and overseer,etc.)
- Church Website Management/Overseer/Uploader
- Social Media Overseer/Content Creator/Uploader
- Church graphic designer to create slides for promotion and announcements
- Hosting guest speakers/arranging accommodations
- Help facilitate and put on staff training and retreats if necessary
- Restock work break room of office supplies
- Turning facility lights on/off/Setting thermostat
- Is required to be in office on specific work days (Potentially Tues/Sun.), otherwise can work remotely. TBD/flexible.
Pastoral Assistant Duties
Personal assistant to Hunter and Emily Phillips including:
- Scheduling the Phillips’ ministry appointments through email.
- Filtering emails to the appropriate department should they come through.
- Attend/notate pastoral meetings.
- Attend and notate monthly vision casting meetings.
- May be required to assist in teaching or facilitating trainings and workshops.
Event Coordinator Duties:
- Will be the point person for church-wide events. Will receive and monitor event request forms. (This does not include other department functions)
- Will be responsible for managing the church calendar and ensuring that events do not conflict.
- Will create or receive an event slide for the announcements, and upload to social media.
- Will coordinate, order, delegate, and oversee events (unless a department is putting their own event on).
- Will manage the church building rental forms and be in communication with those renting the facilities for compensation, and communications.
- Will be responsible for being present or finding someone to be available the day of the event.
- Will help organize and plan church conferences.
Bookkeeper Duties:
- Will assist in weekly payroll needs.
- Will work with Hunter Phillips on the church budget.
- Will drop off bank deposits for church weekly.
